1. Application of this Policy
In this Policy, the "Company" means Vectis Works, whose office is at 100 Powell Place #1170, Nashville, TN 37204. The Company designs and builds shop-floor dashboards, data systems and software for manufacturing businesses.
This Policy governs personal information handled through vectisworkssystems.com (the "Site") and through the business email correspondence the Company sends.
2. Business contact practices
The Company writes to individuals employed by manufacturers in roles connected with its services, for example leaders in operations, plant management, engineering or information technology.
Contact is made mainly by work email. On occasion the Company may telephone an individual or send post to their employer's business address.
The Company makes contact only where it considers its services might matter to the employer concerned, and it ceases contact on request under clause 6.
3. Categories of information
Professional contact data: an individual's name, position, employer, work email, business telephone number and a link to a professional profile, to the extent available.
Organization data: the employer's name, web address, sector, headcount, location and business postal address.
Published business activity: material an employer has put into the public domain, for instance job advertisements, press coverage and public social posts.
Deliverability results: the outcome of checks on whether a work email address accepts mail, used to avoid messages that would bounce.
Correspondence records: messages received from an individual, and notes made of discussions with them.
Site visit data: the Site places no cookies and uses no analytics service. Ordinary server logs, including IP addresses and browser types, are retained by the hosting provider for the purpose of serving and safeguarding the Site. Because the Site's font is delivered by Google Fonts, Google receives each visitor's IP address.
The Company does not gather sensitive personal information, including health information, financial account numbers or government-issued identification numbers.
4. Origin of information
Publicly available material, including corporate websites, job listing sites, news publications and professional networking profiles.
Commercial vendors that supply company data and business contact data.
The individual directly, whenever they respond to an email, submit a contact form or talk with the Company.
5. Purposes of processing
The Company processes information in order to:
- (a)decide whether its services may suit a given employer;
- (b)approach the individual at work regarding those services;
- (c)verify that an email address works prior to sending;
- (d)answer the individual and, where they ask, discuss or deliver services;
- (e)operate its do-not-contact list, so that opt-outs remain effective; and
- (f)protect the security of its systems and comply with the law.
Open tracking: we don't track whether you open our emails.
6. Opting out
An individual may end all contact by answering any Company email with a request to stop, in whatever words they choose, or by telling the Company representative who calls them.
The Company acts on each such request without delay, and no later than 10 business days after receiving it.
The individual's name and email address are then recorded on a do-not-contact list, which prevents further contact even if the same details are later obtained from a different source.
7. Disclosure to others
The Company neither sells nor rents personal information. Nor does it pass personal information to other businesses for their marketing or for targeted advertising.
Disclosure is limited to:
- (a)service providers engaged by the Company, namely email and mailbox services, email verification services, suppliers of business data, and hosting and data storage services, each restricted to using the information solely to perform services for the Company;
- (b)public authorities or other persons, where disclosure is legally required or is needed to protect the Company's rights, property or safety; and
- (c)any purchaser of, or successor to, the Company's business following a sale or reorganization, which is bound to keep protecting the information in line with this Policy.
8. Retention periods
Business contact information is retained for so long as it serves the purpose of contacting businesses. Outdated records are refreshed or deleted.
Client records are retained for the duration of the engagement, and afterwards for as long as legal and accounting requirements demand.
Do-not-contact entries are retained for as long as the Company continues to contact businesses, so that opt-outs stay in force.
9. Safeguards
The Company restricts access to personal information to personnel with a need for it, and maintains reasonable technical and organizational safeguards.
No method of storage or transmission is entirely secure, and the Company gives no assurance of absolute security.
10. Rights of individuals
An individual may request that the Company:
- (a)disclose the information it holds about them, and its source;
- (b)amend information that is inaccurate; and
- (c)erase their information, save for the do-not-contact entry required to keep their opt-out effective.
Residents of certain states, California among them, may hold further rights under state privacy law, such as rights to know, correct and delete personal information and to opt out of its sale or sharing. The Company engages in neither the sale nor the sharing of personal information.
Exercising any of these rights will not result in different treatment by the Company.
Requests may be submitted by replying to any Company email, through the vectisworks.com contact form, or in writing to the postal address in clause 14.1.
To verify a request, the Company may ask the requester to confirm the email address at which they were contacted. The Company replies within the period permitted by law.
An authorized agent acting for an individual may also submit a request.
11. Minors
The Company's services and communications are directed at businesses. The Company does not knowingly gather information concerning persons below the age of 18.
12. Location of operations
The Company operates from the United States, and the businesses it contacts are located in the United States.
Personal information is processed within the United States and in any other place where the Company's service providers carry on their operations.
13. Amendments
Any revision of this Policy is shown by a new effective date at the head of this page.
